The company offsite planning checklist
Most offsite checklists tell you to pick a fun venue. This one covers the operational deadlines that actually hurt when you miss them — with the templates to hit each one.

12 weeks out
- Lock the venue and get meeting-room dimensions plus the hard curfew in writing.
- Send registration now. Dietary, arrival and departure windows, flight numbers, room-share preference, session choices. You only get to ask once — a second survey gets half the response rate.
- Block hotel rooms with a named release date. Unclaimed rooms usually still cost you a share under attrition clauses.
- Get transport quotes. They need vehicle counts, which come from arrival times you do not have yet — so ask for a range and confirm later.

6 weeks out
- Chase non-responders weekly — every unknown attendee is an unbookable room and an uncounted meal.

2 weeks out
- Final headcount to venue and caterer. Most contracts lock counts between 72 hours and 14 days out — check yours today, not the week of.
- Send the dietary matrix to the kitchen with allergies flagged by name and severity. Template here.
- Publish the agenda with an owner and a phone number on every line.
- Collect emergency contacts and accessibility needs into one sheet the organisers carry.
72 hours out
- Send driver manifests to the transport company and the hotel front desk — the desk fields the "where is my ride" calls. Manifest template, and the shuttle wave calculator if you are still sizing vehicles.
- Confirm every vendor: arrival time, contact, location pin. Vendor tracker.
- Print or share the pack: rooming list, dietary matrix, manifests, session assignments, agenda.
- Nominate the day-of decision maker — and make it someone other than the CEO.
The days themselves
- Morning sweep: no-shows and late arrivals. Update rooms, meals and seats before the first session, not after.
- When the keynote runs long — and it will — cascade the schedule. Never quietly compress the breaks to zero; that is how you lose the room by mid-afternoon.
- Announce shuttle departures twice. The last one leaves on time regardless of the bar.
- Write down what broke the same day. Next quarter starts from that list.

How far ahead should we start planning a company offsite?
For 30–150 people, twelve weeks is comfortable and eight is tight but workable. The binding constraint is rarely the venue — it is how long attendees take to respond to registration, which is where most timelines actually slip.
Who should own the offsite?
One named person with decision authority, usually an EA, Chief of Staff or People Ops lead — with a second person nominated as the day-of decision maker so the organiser can attend their own event. Committees produce beautiful plans that nobody executes.
What is the most commonly missed deadline?
The catering guarantee. Most contracts require a final headcount 72 hours to 14 days out, and after that you pay for the number you gave regardless of who shows up. Diarise it the day you sign.
