What people forget to budget
- Airport transfers both ways — often quoted per vehicle per run, not per person. Three arrival waves means three runs.
- The gap meals. Arrival-night dinner and departure-day breakfast are outside most venue packages.
- AV. Screens, mics and a technician for the main room are usually a separate line, and it is rarely small.
- Room block attrition. If you block 40 rooms and fill 30, most contracts still charge for a share of the gap.
- Dietary and accessibility accommodations — a handful of separate meals, and occasionally an accessible-room upgrade.
- Someone's time. Whoever runs this loses two to four weeks of their real job. It is the biggest uncosted line on the sheet.
